The Key Purpose of this role is to ensure that all governance processes and documentation related to inventory are followed and completed accurately. This includes verifying that all physical movements of inventory—raw materials, finished goods, containers, and pallets—are correctly reflected in Syspro. The role ensures end-to-end stock integrity, compliance, and reconciliation across the supply chain.
Key Roles & Responsibilities:
Inventory Reporting
- Adhere to all physical pre-stock take processes.
- Print and action pre-stock take reports and ensure all known adjustments are made before stock counts.
- Clean the Goods In Transit (GIT) account prior to stock counts and ensure valid entries are signed off by departmental managers.
- Facilitate and participate in daily, weekly, and monthly stock counts for all raw materials, finished goods, empties, and pallets.
- Ensure stock counts adhere to company standards, and conduct ad-hoc counts to resolve variances.
- Ensure handheld devices (where applicable) are correctly set up and maintained.
- Print and investigate daily stock variance reports and post authorized unresolved variances as per process.
- Compile daily, weekly, and monthly stock take packs and ensure proper sign-off.
- Report monthly on compliance to the Inventory Policy and close any identified action gaps.
Shipment Reconciliations
- Verify that all post-goods issues have been processed for deliveries and driver corrections.
- Ensure all delivery notes are checked, signed, and accounted for daily.
- Maintain and sign off missing and unsigned invoice registers.
- Verify daily load plans and distribution gate registers for completeness and filing.
- Assist in resolving and correcting invoice queries.
- Follow up on all T1 GIT shipments not yet received.
- Confirm monthly movement reports with all sites and stakeholders.
- Ensure recharges for breakages and missing bottles are processed timely and in the correct accounts.
Packaging Interface
- Reconcile daily inventory movements between Packaging and Warehouse teams.
- Balance cullet weekly with Packaging.
- Perform reconciliation of issued containers versus packed volumes.
Distributor Stock Management
- Conduct missing, broken, and foreign bottle surveys as per policy and record results daily.
- Communicate missing and broken bottle survey results to customers and ensure accurate billing.
- Verify daily that returns are credited correctly and inventory levels reflect returns (both pallets and returnable glass).
- Review and sign off daily reconciliations with the Logistics Manager.
Pallet Repairs and Reporting
- Manage pallet destruction and repair processes with cost tracking and performance reconciliation.
- Manage contractor performance and ensure accurate payments.
- Ensure sufficient pallet inventory levels to meet production plans.
- Track pallet turnaround time and monitor quantities in trade per customer.
- Count and report weekly on pallets at site.
- Review and align pallet management SOPs annually.
- Set annual repair budgets and track KPIs and PIs.
Product Quality Maintenance
- Ensure FEFO principles are applied to stock movements by printing bin-pulling sheets.
- Enforce adherence to stock age policy and manage concessions with appropriate approvals.
- Ensure full adherence to product recall policies and procedures.
- Physically isolate blocked stock and block it in Syspro to ensure data accuracy.
- Conduct weekly meetings with Trade Quality Specialists to review and resolve quality issues in trade.
- Analyze customer feedback and track corrective actions to closure.
People Management
- Align the shop floor team with company goals through daily and monthly meeting routines.
- Conduct monthly One-on-One sessions in line with target review processes.
- Maintain a positive industrial relations climate with documented SLA meetings.
- Ensure open communication channels with all relevant stakeholders.
- Follow up on Engagement Survey results with actionable plans to improve engagement.
- Support recruitment and talent pipeline development.
- Conduct 180° reviews and manage poor performance through coaching, improvement plans, or disciplinary action when necessary.

- High computer literacy (MS Office, Syspro, Teams).

- Fluent in English and Swahili.
- Proficiency in Syspro and Microsoft Office (Excel, Word, Teams).
- Strong understanding of inventory management systems and controls.
- Sound understanding of stock reconciliation and variance analysis.
Minimum Requirements:
- 3-year relevant Diploma or Degree in Supply Chain Management or Logistics.
- Minimum of 2–3 years’ experience in warehousing or inventory management.
